The Grants Management process typically unfolds in three phases: Pre-award, Award, and Post-award phases.

  1. Pre-award or Opportunities Phase: During the grant opportunities phase, organizations navigate several stages to secure funding. Beginning with the Prospect stage, organizations identify, and research potential funding sources aligned with their strategic goals.
    Subsequently, in the Application stage, comprehensive grant proposals are prepared and submitted to these sources. The Engagement stage involves active communication with grantors, addressing queries, and refining proposals based on feedback.
    Upon success, organizations reach the Won stage, securing grant funding and initiating program implementation. Conversely, unsuccessful attempts conclude in the Lost stage, prompting a review of feedback to enhance future applications. This structured approach enhances the systematic pursuit of grant opportunities, bolstering the likelihood of securing vital funding.

  2. Award Phase: Following grant approval, the award phase involves pivotal activities such as reviewing and accepting the grant agreement, establishing compliance and documentation procedures, conducting initial meetings with grantors, and developing detailed implementation plans. Clear communication and reporting structures are also established to ensure effective execution and management of funded programs.

     Additionally, outlining a Service Level Agreement (SLA) document outlining expectations and responsibilities between grantor and grantee is imperative for future compliance reporting.

  3. Post-award Phase: In the post-award phase, organizations implement funded programs, manage received funds, ensure compliance, and report progress. Key activities encompass executing the action plan, monitoring the budget, tracking expenses, and maintaining regulatory compliance. Regular submission of progress and financial reports to the grantor, coupled with continuous performance monitoring and evaluation, are critical. Effective communication with stakeholders, risk management, and comprehensive documentation are paramount. The phase culminates in final reports and program evaluation to ascertain effective fund utilization.
